Weekly Task Planning Session
Plan and organize your tasks for the upcoming week
The Problem
Starting the week without a plan leads to reactive work. You bounce between whatever feels urgent instead of making progress on what matters. Weekly planning creates structure and intention.
The Workflow
Step 1: Review Last Week
Start by assessing how last week went.
Prompt to use:
Show me all reminders I completed last week and
any that are still incomplete. How many did I
complete vs miss?
Example output:
LAST WEEK SUMMARY:
Completed: 12 tasks
Incomplete: 4 tasks (rolled over)
COMPLETED:
✓ Send project proposal
✓ Review team PRs
✓ 1:1 prep notes
...
ROLLED OVER:
• "Update documentation" (missed deadline)
• "Research new tools" (not started)
...
Step 2: Capture New Tasks
Add any new commitments from last week.
Prompt to use:
Search my emails from last week for any commitments
I made that aren't already in my reminders.
List them so I can add them.
Step 3: Plan the Week
Distribute tasks across the week.
Prompt to use:
I want to plan my tasks for next week. Looking at my
calendar and current reminders, suggest which days
to schedule each incomplete task. Avoid days with
many meetings.
Step 4: Set Weekly Goals
Define your key outcomes for the week.
Prompt to use:
Based on my tasks, suggest 3 weekly goals.
Create a reminder for Friday afternoon to review
if I achieved them.
Step 5: Create Buffer
Build in flexibility for unexpected work.
Prompt to use:
Block "Catch-up time" reminders on Wednesday and Friday
afternoons for handling unexpected tasks that come up.
Expected Result
A structured week with tasks distributed appropriately, clear goals, and built-in flexibility for surprises.
