Convert Emails to Tasks with AI

Automatically extract action items from emails and create reminders

The Problem

Important tasks get buried in your inbox. Emails contain requests, deadlines, and commitments, but without extracting them into a proper task system, things slip through the cracks.

The Workflow

Step 1: Scan Emails for Action Items

Ask Claude to review your recent emails and identify anything that requires action from you.

Prompt to use:

Review my emails from the past 3 days and list all action items
that require my attention. Include:
- What needs to be done
- Who requested it
- Any mentioned deadline
- The email subject for reference

Step 2: Review Extracted Tasks

Claude will analyze your emails and compile a list of actionable items.

Example output:

ACTION ITEMS FOUND:

1. Send Q4 budget proposal
   - Requested by: Finance team
   - Deadline: Friday, Jan 17
   - Source: "Budget planning for Q4"

2. Review and sign contract
   - Requested by: Legal department
   - Deadline: End of week
   - Source: "Contract ready for signature"

3. Schedule team sync
   - Requested by: Project manager
   - Deadline: This week
   - Source: "Team coordination needed"

4. Provide feedback on design mockups
   - Requested by: Design team
   - Deadline: None specified
   - Source: "Design review request"

Step 3: Create Reminders

Ask Claude to add these as reminders with appropriate due dates.

Prompt to use:

Create reminders for the first three action items.
Set the budget proposal reminder for Thursday morning,
the contract for Wednesday, and the team sync for tomorrow.

Step 4: Confirm and Organize

Claude will create the reminders in your Reminders app. You can also ask for a daily digest.

Prompt to use:

Show me all my reminders due this week, grouped by day.

Expected Result

Your inbox becomes a source of tasks rather than a task graveyard. Action items are automatically captured and tracked, ensuring nothing falls through the cracks between your email and task management systems.

Tips

  • Run this workflow every Monday morning for weekly planning
  • Ask Claude to flag items with tight deadlines first
